Privacy Note
The short version
Pourline is built so that a producer's order data stays in the producer's own hands. We collect as little as we can, we don't sell or share data, we don't run ads, and no AI processing is applied to customer data inside the product. If a producer chooses to connect QuickBooks Online, Pourline reads their customer and product list and creates invoices only when they ask it to. Nothing else.
Who we are
Pourline is operated by Mayrose Future Company, a company registered in Ireland. We are the data controller for the information described here. Contact: enquiries@mayrosefc.com.
Who uses Pourline
- Producers — ready-mix concrete businesses that run their ordering and dispatch through Pourline.
- Contractors — the producer's customers, who place and track orders with that producer.
Contractor data belongs to the producer's business relationship with that contractor. Pourline processes it on the producer's behalf.
Where data lives
Each producer's order and customer records are stored in spreadsheets in that producer's own Google account, which the producer owns and can open at any time. The Pourline dashboard and contractor app are served by Netlify. The service logic runs on Google Apps Script within the producer's Google account. Pourline (Mayrose Future Company) accesses this data solely to operate the service for that producer: showing the dispatch board, sending quote and confirmation emails, printing delivery tickets, and, where connected, exchanging records with QuickBooks Online.
What we collect
From producers: operator names, work email addresses, phone numbers, truck and driver lists, plant details, and the order and customer records the business creates.
From contractors placing orders: name, company, contact details, site address, site contact, and the details of the order itself. This information goes to the producer fulfilling the order; that is the point of the service.
Technical: standard web server access logs (IP address, browser type, time of request) kept by our hosting provider for security and troubleshooting. Pourline sets no advertising or tracking cookies and uses no third-party analytics.
QuickBooks Online connection
A producer may choose to connect Pourline to their QuickBooks Online company. This is optional, initiated by the producer's own QuickBooks administrator, and can be undone at any time.
What Pourline reads from QuickBooks: the producer's customer list (names, company names, billing contact details, billing addresses, payment terms) and the producer's product and service items (names, descriptions, prices, tax settings). Pourline reads these so that the producer's order tray matches their QuickBooks records and invoices land against the right customer.
What Pourline writes to QuickBooks: invoices for delivered orders, only when a producer user chooses to send a specific order. Pourline may also create a customer or a product/service item in QuickBooks, but only when the producer explicitly asks it to. Pourline never sends, emails, edits, voids or deletes invoices, and never records payments.
What Pourline never accesses in QuickBooks: payments, banking, payroll, bank feeds, reports, or any data beyond the customer, item and invoice records above. Pourline requests only the QuickBooks accounting permission scope.
How the connection is stored: Intuit issues connection tokens when the producer authorises Pourline. Those tokens, and the customer and item records Pourline reads, are stored in the producer's own Pourline workspace, in secured Google Apps Script properties and the producer's own spreadsheets. They are used only to operate the service for that producer.
Disconnecting: the producer can disconnect from within QuickBooks (Apps → Connected apps) or by emailing enquiries@mayrosefc.com, and we act on it immediately. On disconnect, Pourline deletes the connection tokens immediately and stops all reading and writing. Customer and item records already copied into the producer's Pourline workspace remain the producer's, in their own spreadsheets, and are deleted from any Pourline-side storage within 30 days on request.
Use of QuickBooks itself is governed by Intuit's own terms and privacy policy.
Who else touches the data
We use a small number of service providers to run Pourline. They process data only to provide their service to us and only as far as needed:
| Provider | What for | Location |
|---|---|---|
| Google (Workspace, Sheets, Apps Script, Gmail) | Data storage in the producer's account, service logic, transactional email | Google Cloud, United States and EU |
| Netlify | Hosting the dashboard and contractor app | United States |
| Intuit (QuickBooks Online) | Only if the producer connects it; exchange of customer, item and invoice records | United States |
We do not sell data. We do not share data with any other third party for their own purposes. We do not use customer data for advertising or to train any AI model. We will disclose data if the law requires it, and will tell the producer unless prohibited from doing so.
How we protect it
- All traffic between browsers, Pourline and QuickBooks is encrypted in transit (HTTPS).
- Data at rest is stored on Google infrastructure, which encrypts stored data by default.
- Access to a producer's workspace is limited to that producer's authorised users and to Pourline staff for support, on a least-privilege basis.
- Connection credentials and API keys are held in secured server-side properties, never in the browser and never in page code.
- Pourline does not collect or store card or bank details.
- If a security incident affects a producer's data, we will notify that producer without undue delay, and within 72 hours where the law requires it.
How long we keep it
For as long as the producer is a Pourline customer. When a producer leaves, they keep their spreadsheets; the records are already in their own Google account. Anything held on Pourline's side (configuration, connection tokens, support records) is deleted within 30 days of the account closing, or sooner on request. Server access logs are kept by our hosting provider for a limited period and then deleted.
Your rights
Producers, and individuals whose details appear in a producer's records, can ask us to access, correct, export or delete personal data we hold. Email enquiries@mayrosefc.com and a person will answer within 30 days. Where a request concerns records held in a producer's own workspace, we will refer it to that producer and help them respond. If you are in the EU/EEA or UK you also have the right to complain to your data protection authority; in Ireland that is the Data Protection Commission. Residents of US states with privacy laws have the corresponding rights under those laws.
Children
Pourline is a business tool for use by adults in the course of their work. It is not directed at anyone under 18.
Pourline sends transactional email only: order alerts, quotes, confirmations, connection notices and service notices. No marketing lists.
Changes
If this note changes in a way that matters, we will tell producers by email before the change takes effect and update the date below.
